Claude for Accountants: The RECONCILE → FLAG → EXPLAIN Framework for a Faster Month-End Close
Most SME owners don’t have a finance team — they have themselves, an accountant they see once a month, and a folder of receipts. The close still happens. It just takes a week, and errors get caught months too late. Here’s a three-stage way to fix that with Claude, without new software.

RECONCILE → FLAG → EXPLAIN is a three-step framework for using Claude to close the books faster and more accurately: reconcile your bank, ledger and expense exports in one place, let Claude flag mismatches and miscoded entries before they’re baked into the close, then turn the reconciled numbers into a plain-language summary the business owner can actually use.

Why month-end still takes a week
Most SME owners don’t have a finance team. They have themselves, an accountant they see once a month, and a folder of receipts. The books still close — eventually — but “eventually” is doing a lot of work in that sentence.
Here’s what I’ve seen across 30 years of building customer and data strategy for banks and agencies, and now watching SMEs adopt AI: the close is slow not because anyone is bad at their job. It’s slow because the checking happens too late — after the numbers are already written up, not while they’re being assembled. By the time an error surfaces, someone has to unwind three steps to find it.
This is Economics Engine work — the same engine behind last week’s Claude for Finance piece, but pointed at a different moment in the cycle: not “where is the margin leaking,” but “how do we close the books accurately, on time, without a fire drill every month.”
The RECONCILE → FLAG → EXPLAIN framework
Three stages, run in order, every month:
- RECONCILE — get every ledger, bank feed and invoice list into one place Claude can actually cross-check
- FLAG — use Claude to surface mismatches, duplicates and anomalies before they get baked into the close
- EXPLAIN — turn the closed numbers into a plain-language report the business owner, not just the accountant, can actually use
Skipping straight to EXPLAIN — asking Claude to “summarise this month’s numbers” without reconciling first — is how you get a tidy-looking report built on numbers nobody checked.
Step 1 — RECONCILE: get the ledger into shape Claude can check
You don’t need new accounting software. You need the exports you already have — bank statement, sales ledger, and expense/receipt list — pulled into one place in a consistent format Claude can compare line by line.
The minimum viable version: date, description, amount, and source (bank / invoice / receipt), for each transaction. Most accounting packages (Xero, QuickBooks, SQL, AutoCount) export this in a few clicks — the work is bringing the three sources together, not creating new ones.
Step 2 — FLAG: let Claude catch what a rushed close misses
This is the step most SMEs skip, because it feels like double-checking work that’s “already done.” It’s exactly where Claude earns its keep — not by doing the bookkeeping, but by checking it the way a second pair of eyes would, at a speed a second pair of eyes can’t match.
Prompt: Cross-check bank vs. ledger
Here is my bank statement export and my sales ledger for the month [attach both]. Match transactions between them and list anything in one file that doesn't appear in the other — possible missing entries, duplicates, or timing differences.
Run this first — it surfaces the raw list of mismatches everything else builds on.
Prompt: Year-over-year category swing
Compare this month's expense categories against the same month last year. Flag anything that moved by more than 20% and tell me which categories to double-check before I close the books.
Catches drift a monthly view alone won’t show you.
Prompt: Miscategorisation scan
Scan this expense list for likely miscategorised entries — for example, personal-looking expenses in a business category, or one-off items coded as recurring.
A five-minute scan that catches errors that otherwise compound for months.
The difference between a close and a rushed close is whether anyone looked for the mismatch before it became “this month’s number.”

A closed set of books that only the accountant understands isn’t clarity — it’s just tidiness. The last step is turning the reconciled, flagged numbers into a short explanation the business owner can act on without asking “what does this actually mean” first.
Ask Claude to translate, not just summarise: what changed this month, why, and what — if anything — needs a decision. Three sentences a non-finance owner can read in one breath beats a five-tab spreadsheet nobody opens until year-end.
A before-and-after example
| Before | After RECONCILE → FLAG → EXPLAIN |
|---|---|
| Month-end close takes 6–8 working days. | Close takes roughly half the time — checking happens during assembly, not after. |
| An expense miscoded as “recurring” in March is only caught in July. | Miscoded entries are flagged the same week they happen. |
| Owner gets a raw P&L nobody has time to read properly. | Owner gets a 3-sentence EXPLAIN summary — and actually reads it. |
FAQ
No. This doesn’t replace proper bookkeeping, audit, or tax compliance — a qualified accountant is still doing that work. This is a checking and translation layer on top: using Claude to catch mismatches faster and explain the result in plain language.
No. Standard exports from Xero, QuickBooks, SQL, or AutoCount are enough. The value comes from the reconciliation and flagging questions you ask, not from new tooling.
Use the same judgment you would with any financial data: check your Claude plan’s data-handling terms, avoid pasting anything you wouldn’t otherwise send by email, and keep exports inside a controlled workspace rather than a public chat.
Claude for Finance (SEE → QUESTION → DECIDE) finds where margin is leaking, for a spending decision. Claude for Accountants (RECONCILE → FLAG → EXPLAIN) makes sure the numbers going into that decision are correct in the first place, and explains them clearly once they are. Both sit under the Economics Engine.
